01Policy statement

Segmic Engineering Trading (“Segmic”, “we”, “us”) respects the privacy and security of your personal information. This Privacy Policy describes how data is collected, used and protected when you visit segmic.com, send us an enquiry, apply for a role or chat with Axie, our website assistant. By using the website you acknowledge the practices described here.

02Who we are and scope

The controller of your personal data is Segmic Engineering Trading, Office 1114, SIT Tower, Dubai Silicon Oasis, Dubai, U.A.E., P.O. Box 342014, Dubai, UAE. This policy applies to segmic.com and to the services we provide through it. Engagements delivered together with Analytica, our technology arm, may also be covered by Analytica’s own privacy policy.

03How we collect your data

• Directly from you: when you request a consultation, ask for a spare-part quotation, raise a support request, send a project enquiry, apply for a job or internship, chat with Axie, or contact us by email, phone or WhatsApp.
• Automatically: technical data needed to deliver and secure the site (such as IP address, browser and request time in server logs), and — only if you accept analytics cookies — usage data about the pages you visit and how you interact with them.
• From third parties: professional networks such as LinkedIn when you share a profile link with an application, and people who refer you to us.

04Types of personal data we collect

• Contact details: name, work email, phone or WhatsApp number, company and job title.
• Enquiry details: equipment, part numbers, site and project information, and any files you attach (for example drawings, photos, nameplates or specifications).
• Application details: your CV, LinkedIn or portfolio link, experience, location, availability and cover note.
• Chat content: the messages you exchange with Axie, and your contact details if you choose to share them in the chat.
• Usage data (with consent): pages viewed, interactions such as brochure downloads, the referring website and a random session identifier; plus device, browser and approximate location if Google Analytics is enabled.

Please do not send sensitive personal data (such as health, religious or biometric information) through our forms or the chat.

05How we use your data

• To respond to consultations, quotations, support requests and project enquiries, and to prepare proposals and contracts.
• To assess job and internship applications and contact candidates.
• To operate Axie, route your question to the right team and improve its answers.
• To keep the website secure, prevent spam and abuse, and fix problems.
• To understand how the website is used and improve it (only with your consent).
• To comply with legal, accounting and regulatory obligations.

We do not sell your personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.

06Legal bases

We process personal data in line with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and, where it applies to you, the EU/UK GDPR. Depending on the activity we rely on your consent (analytics cookies, optional chat details), steps taken at your request before entering into a contract (enquiries and quotations), our legitimate interests (security, improving our services, recruitment) and compliance with legal obligations.

07Axie, our AI assistant

Axie answers questions about Segmic using Google’s Gemini API. The messages you send are passed to Google to generate a reply and are stored by us so our team can review conversations and improve the service. If you share your name and email in the chat, we email a summary and the transcript to our team so an engineer can follow up. Axie can make mistakes; its replies are not quotations or engineering advice.

08Who we share your data with

• Service providers acting on our instructions: website and database hosting, Resend (email delivery of enquiry notifications), Google (Gemini for Axie and, if enabled and accepted, Google Analytics).
• Analytica, our technology arm, when your enquiry concerns IT, data or AI services delivered together.
• Manufacturers and distributors when we need to confirm spare-part availability or pricing — limited to the part details needed.
• Professional advisers (such as auditors and lawyers) under confidentiality.
• Authorities when required by law, or to protect our rights and the safety of others.
• A successor business in the event of a merger, sale or reorganisation.

09International data transfers

Some of our providers, including Google and Resend, may process data outside the UAE. Where this happens we rely on appropriate safeguards — such as contractual commitments and the providers’ security certifications — so that your data receives an adequate level of protection.

10Data security

We protect personal data with encryption in transit (HTTPS), access-controlled systems, rate limiting and restricted administrative access. Attachments are stored privately and are only available to authorised staff. No system is entirely immune to threats, but we work to keep risks low and will notify you and the authorities where the law requires.

11Data retention

• Enquiries and correspondence: for as long as needed to handle your request and any resulting business relationship, and afterwards as required for legal and accounting purposes.
• Job and internship applications: up to 12 months, so we can consider you for future roles, unless you ask us to delete them sooner.
• Axie conversations: up to 12 months, or longer if they become part of an enquiry.
• Analytics events: automatically deleted after 13 months.

When data is no longer needed it is deleted or anonymised.

12Your rights

Subject to applicable law, you can ask to access, correct or delete your personal data, restrict or object to its processing, receive a copy in a portable format, and withdraw consent at any time (this does not affect processing that took place before). To exercise these rights, email info@segmic.com. You may also lodge a complaint with the UAE Data Office or your local data-protection authority.

13Cookies and tracking technologies

We use strictly necessary browser storage to run the site and, only with your consent, analytics cookies. See the Cookie Policy for the full list, and change your choice at any time in Cookie settings.

14Children

The website and our services are intended for businesses and professionals. They are not directed at children under 18, and we do not knowingly collect their personal data.

15External links

Our website links to third-party websites, such as manufacturers, Analytica and social networks. We are not responsible for their privacy practices; please review their policies before sharing personal data.

16Changes to this policy

We may update this policy to reflect changes in law or in how we work. The latest version is always published on this page with its “Last updated” date.
